IMATA is launching a trial program to assist select delegates with costs associated with attending our annual conference. For the 2024 IMATA Conference in San Antonio, attendees can apply for a subsidy to cover the cost of up to 50% of their hotel stay at the Hyatt Regency Hill Country Resort and Spa.
To qualify for the subsidy, attendees must have a confirmed reservation at the Hyatt Regency Hill Country Resort and Spa no later than 18 March 2024. Reservations must be made using this link and must be for the $239 USD/night conference rate. Reservations made after 18 March 2024 may not be available for this program.
The subsidy application process is competitive in that there may be more applications than there are subsidies available. The exact number of subsidies awarded will depend on the number of applications received. Subsidy applications will be accepted on a first-come first-serve basis through 17 March 2024; applications received after this date will not be considered. Incomplete applications will not be considered. Subsidy recipients will be selected at random and notified of acceptance via email or telephone no later than 18 March 2024.
Subsidy recipients are responsible for all hotel fees associated with reservation deposits and/or cancelations. Subsidies are for room nights only and do not include incidental charges (e.g., room charges associated with meals, beverages, room service, parking, resort fees, etc.). Subsidy recipients are required to complete their entire hotel stay as reserved and pay their bill in full. IMATA will, at its sole discretion, reimburse subsidy recipients via a check made out to the recipient and drawn on a U.S. bank (in USD) or via a credit applied to the recipient’s final hotel bill prior to checkout. The total amount of the subsidy will not exceed 50% of the nightly room rate; taxes and fees (including, but not limited to, tourism PID, occupancy tax, recovery charges, and rec chg sales tax) are the sole responsibility of the subsidy recipient. Up to one subsidy will be provided per confirmation number and the name on the reservation must match the name on the subsidy application.
By submitting an application you agree to release and hold harmless IMATA and their subsidiaries, affiliates, advertising and promotion agencies, partners, representatives, agents, successors, assigns, employees, officers and directors from any liability, illness, injury, death, loss, litigation, claim or damage that may occur, directly or indirectly, whether caused by negligence or not, from (i) such applicant’s participation in the subsidy program and/or his/her acceptance, possession, use, or misuse of any subsidy or any portion thereof, (ii) technical failures of any kind, including but not limited to the malfunctioning of any computer, cable, network, hardware or software; (iii) the unavailability or inaccessibility of any transmissions or telephone or Internet service; (iv) unauthorized human intervention in any part of the application process or the program; (v) electronic or human error which may occur in the administration of the program or the processing of applications.
Any personal information supplied by you will be subject to IMATA’s privacy policy posted at https://www.imata.org/faqs. By applying, you grant IMATA permission to share your email address and any other personally identifiable information with the other program entities for the purpose of administration, subsidy fulfillment, and for purposes of receiving email from IMATA should you agree to receive such correspondence.
This is a pilot program for 2024. There is no guarantee that this program will be repeated for future IMATA events.
